In this article we’ll look at how to make the most from Premium Events, Sneak Peeks and Prereleases.
Making it a day to remember:
- You’ve sanctioned the main event but remember to also sanction enough Side Events to make the day a truly awesome experience. If you have a range of events you’ll attract players from further away.
- Advertise at least three weeks in advance with a contact number and/or email for questions. Let players know how much the entry fee is and what amazing prizes are available.
- Ensure you have enough space for everyone. If you think you’re going to have more than your store can handle, make use of an outside location, such as, a church room or community center. You need to make this decision early. All your advertising needs to point to this venue. Some manufacturers may need advance notice to get a new location attached to your store’s account. Remember if you want to run events successfully, you need to ensure the experience is as en-joyable as you can make it. Cramped, hot environments are not conducive with fun.
- Ensure the store is clean and tidy and remains that way during the event. Restrooms will need to be checked and cleaned as well.
- You may want to run a signup list, particularly if the event is going to have some choices, such as, a variety of side events. Reward those players who signup early by ensuring they get the side event they requested. Start the signup at least three weeks prior to the event.
Stuff, stuff and more stuff:
- Early on, create a check list of all the materials you’re going to need and set dates for when you need tasks done, such as, booking an outside venue. Organization is the key to making sure all the bases are covered and nothing gets missed.
- Order your stock as early as you can.
- Since you’re looking to turn this into something more than just a four hour event make sure to have a variety of snacks and drinks available. You may want to consider offering a couple of slices of pizza and a beverage in the cost of tournament entry.
- One of the most important items will be your computer. Ensure early on its working and has the most up-to-date software available for your tournament. You may also want to consider having a backup system in place just in case the main system dies.
On the day!
- As players arrive be courteous and welcoming. Nothing beats a cheerful “Hello”.
- Clearly communicate the start times for registration, the main event and side events. Promote those side events, as well.
- You may want to separate the players who need to sign up for membership cards and process them in a different line before getting them enrolled in the tournament.
- Now, seat all players and hand out the product. Clearly communicate how long they have to construct, if sealed, and clear trash as they construct. Having extra trash cans available will help. Instruct your staff to empty the cans when needed.
- While players are building their decks, run the first round pairings and post them around the venue in multiple spots.
- Make sure to start on time and clearly communicate how long each round will be. 40 to 50 min-ute rounds are pretty standard.
- If you’re offering food, make sure everyone knows after which round they get a food break. The responsibility is always on the player to be back on time.
- During the event you and your staff should walk around checking on everyone. Players love to know you care about them having fun. Remember you want them to come back to your next event so do everything you can to make them feel wanted.
- Award prizes at the end. Make a feature of this. Players like to be recognized for their achieve-ments.
